Unlike groups, a profile does not grant access rights to folders in the archives. Instead, profiles determine access to certain modules and special rights in regards to system functions such as the ability to end workflows or access to the user-matrix. Standard configuration is a default profile with basic rights, such as the ability to delete files, that includes access to the core modules Dashboard, Files, Messages, Tasks and Calendar.
In special cases, profiles can also be used in combination with groups to limit communication among project participants as well as for the configuration of tasks.
To view all active profiles and their configuration click on "Profiles" in the navigation menu under "Users":
The grey box shows a list of all active profiles.
To view the configuration of the profile, click on the round button in front of the name. The rights setup to the selected profile will then be shown next to the grey box.
In the section for rights setup you can configure the rights to the profile by scrolling through the options listed and making the approriate selections with the checkboxes and menus. Once all settings have been made for the profile click «Set profile» at the bottom of the page to save:
Click on "Profiles" under "User" in the navigation menu. A list of all available profiles will be shown in the grey box. Use the option buttons below the grey box to perform the necessary actions:
Create:
To create a new profile, type the name of the profile in the textbox and click «New»
Next, assign rights and options to the new profile as needed.
Click «Set profile» at the bottom of the page to save.
Copy:
To copy an existing profile, select the profile and click «Copy».
A new profile will be created with all options identical to the copied profile and you can make adjustments as needed
Rename:
Rename a profile by selecting it from the list. Type in the new name in the textbox and click «Rename» to save
Delete:
Delete a profile by selecting it and clicking «Delete»
Only profiles that have not been assigned to users can be deleted
A fast way to assign profiles to users is to click „Users to profiles“ in the navigation menu.
A list of users and their current profile will be shown:
To change a profile click on the drop-down menu next to the account and select the new profile from the list of profiles.
Click «Save changes» once all adjustments have been made.
To restrict communication among project participants got to "Profiles" in the navigation menu. Click the profile for which the restriction applies and select the option „may create for users from selected groups“ from the menu under messages.
Click the Button with 3 dots below to open a new window listing all the groups.
In the new window, select the group or groups that apply and click «Select».
Finally, click «Set profile» at the bottom of the page to save
In the example, the users with the profile „Construction company“ now can only send messages to participants assigned the group „A - Owner“.
Access to the core modules Dashboard, Files, Messages, Tasks and Calendar can be configured using profiles. To deactivate the module, select a profile and check the box next to the module "No appointments" / "No tasks" / "No messages" and click «Set profile» at the bottom of the page to save:
The corresponding module appears in grey on the project starting page and cannot be selected if the module is deactivated in the user`s profile:
