The purpose of this article is to explore the early warning (EW) module, detailing how to navigate the register, create & reply to events, and record risk reduction proposals.
Video content is available below.
The below article is based on the ECC contract type and the terminology reflects this. Certain actions may be unavailable if you do not have the appropriate permissions. Please speak with your Admin User if this is the case.
All EWs for the relevant contract will be stored within this register, including a basic overview of each event. It is also possible to click on each event for more information and additional actions.
In order to access the EW register, first navigate to the left-hand menu, then select Registers and Early Warning (Risk Register):
The different states of EWs within the risk register are listed below:
Draft: EW which is currently in draft state
Black: EW with a risk still present
Grey: EW which has been marked as risk avoided/passed
Red: EW which is overdue the stipulated reply date
Void: EW which has been marked as void
Once an EW has been created, click anywhere on the relevant row within the EW register to access the event.
To void a draft event, select the three dots at the end of the Early Warning, and select Mark this draft event as VOID on the pop-up:
To review the Early Warning toolbar options, such as the filter and downloading the register, please see our help desk article here- Event Register
Either Party may raise an EW by navigating to the left-hand expandable menu and selecting Create New followed by Early Warning:
The below draft edit form will be displayed and the fields highlighted in red will need to be completed before the Send / Progress button may be selected:
Depending on the preferences set up within your contract, you may not be required to enter the risk score in order to communicate an EW.
In order to reply to an EW, select the event from either your reminders page or the EW register, and navigate to the Reply tab. Here, enter the details of your reply:
Alternatively, a User can select A reply is not applicable for this early warning which would remove the reminder for a reply:
To add a risk reduction, navigate to the Risk Reduction tab and select New:
Either the Employer or Contractor may create a risk reduction proposal and view the opposite party's submissions.
The below window will then be displayed:
The two fields highlighted in red can be edited at any time and will allow the User to keep the risk reduction updated by amending these when either the action is complete or the proposal has been voided.
Only Users from the Employer Party will be able to change the risk status of an EW. This can be done by navigating to the Risk Reduction tab and switching between the two preferences; Risk still Present or Risk Avoided / Passed:
