Coming Soon - Reminders - Overdue Events

Within the reminders displayed on the Reminders Page and Contract Dashboard, you will now be able to see how many days an event is overdue by. In the example below, you can see that the replies for these two early warnings are overdue by 708 days:

Alongside this, when exporting your reminders, this information will be displayed in the export. Additionally, you will be able to see how many days are left to respond to events which are not yet overdue:

Reminders List

On the 25th August 2022 the old-style reminders list was removed.

Viewing Extensions/Discussions in Reminders

When viewing extensions / discussions within the Reminders page, you can now filter whether you wish to view all extensions, or all discussions:

If you select View extended, you will be presented with a side menu to view all events which have been extended on your contract:

If you select View discussed, you will be able to select whether you wish to view discussions for the attention of the Project Manager, or for the Contractor:

Once you have selected either of these options, you will then be able to see any discussions for the attention of that Party:

Within this pop-out menu, you are also able to amend your filtering options to view discussions for the other Party, without having to exit the side menu:

Contract Dashboard and Reminders Update

The Contract Dashboard and Reminders are now separated. To access the Reminders page, select the below icon:

To access your Contract Dashboard, select the below:

Within either of these pages, you can navigate back to the old reminders page by selecting the arrow icon highlighted below:

Contract Dashboard - Display of Reminders

Reminders are now displayed in a list style grouped by reminder type within the Reminders section of the Contract Dashboard:

Click anywhere on the row to be displayed with a side menu which will display all events within that reminder group:

You are able to click on the reminders directly from here to open up the event edit form to progress the action.


Reminders - Updates to Filters

Within the Reminders section of the Contract Dashboard, the filtering options have now been updated to allow you to filter by reminder type, as opposed to event type:

For example, if I select the filter Project Manager awaiting Quotations for Compensation Events, I can see all events which fit into this reminder category:

Security Questions Removal

Since the 30th June 2022, it is no longer a requirement when first setting up a User/resetting your password/changing your email address or logging into CEMAR to set up or input security questions. 

Why are we removing them?
With the growth of websites/apps such as social media, the validity of security questions has decreased due to the fact that they rely on knowledge that could be researched thus increasing vulnerability. CEMAR already offers an alternate form of authentication (see below) and therefore this is a step to ensure the software is kept up to date and in line with technology advancements.

Additional account authentication
CEMAR offers two-factor authentication (2FA) which provides an extra layer of security to your CEMAR account, in addition to your username and password.

When 2FA is enabled, a 6-digit security code will need to be entered in order to access your account.

In order to generate the security code, your account must be linked to an external authentication application (such as Google Authenticator, for example). The app will provide the code for you to enter.

Reminder Discussions/Extensions (15th June 2022)

A new widget has been added to the contract dashboard to display the number of active reminders have been extended or have had a discussion added.

Clicking View all will open a tray from the right-hand detailing all the reminders included. There will also be a button to view the extensions or discussions awaiting a response from your party specifically, in the example above this is the View Project Manager button. 

This widget is also available in the Reminders tab of the dashboard and selecting View all here will automatically filter the reminders list to show the relevant reminders.

 

Extensions/Discussions Count in the Reminders CSV Export

In the CSV export of the reminders in the contract dashboard, two new columns have been added to the far right of each reminder to show a count of how many discussions have been added and how many times the reply period has been extended.

Permission to View the Contract Dashboard and Reminders

There is now an activity available in roles and permissions which controls whether a user assigned with that role will be able to view information in the contract dashboard.

Contract Dashboard - Action owners now displayed in reminders export

When downloading your reminders, the below pop-up will be presented. If you select Reminders with associated actions, any events with actions assigned will display the action owner in the export:

Additionally, if there are multiple actions assigned to the same event, there will be as many entry rows for that event as there are actions assigned.


Contract Dashboard - Ordering of events in reminders

Events within the reminders page will now display in order of due date (if the event requires a reply), with with events with replies due earliest at the top. For events which have no reply due date, the oldest event will remain at the top of the list, and the newest event at the bottom.


Contract Dashboard - Discussions / Extensions

Discussions / Extensions are now displayed within the Reminders section of the Contract Dashboard. Any event which has a discussion or extension will display as per the below:

The numbering will reflect how many discussions / extensions have been added against that specific event. For example, the above screenshot displays an event which has one discussion and one extension.


Contract Dashboard - Due Date in Actions Export

When downloading a list of actions from the Contract Dashboard, an extra column has been added to the Excel export to show the reminder due date:

Contract Dashboard - Removing Reminders

Within the Reminders section of the Contract Dashboard, it is now possible to remove certain reminders for which no reply is required. Please see the below list of event types which you can now remove from reminders:

- General Communications (no reply requested)
- General Event (Bond)
- Party 1's General Instruction (FIDIC) - Cancelled ERIs
- Party 1's General Instruction (FIDIC) - Decision given on ERIs
- Party 1's General Instruction (NEC)
- Payment - Assessments marked as paid
- Payment - Invoices marked as paid
- Current Searches

For example, below is a reminder for a GC which does not require a reply. To remove this reminder, click on the reminder and select Remove from reminders:

You will then be presented with the below pop-up box whereby you can choose to remove just that specific reminder, or reminders for that module for all existing and future events:

To view all removed reminders, select the below icon:

You will then be presented with a list of all removed reminders. To restore the reminder, select the below arrow icon:

Contract Dashboard - Breakdown view in Price Change widget

The Price Change widget which can be found within the Contract Dashboard now includes a breakdown view:

Please note, for contracts which have a negative value, this breakdown view will automatically display, as the chart view will not display negative change values.


Contract Dashboard - Filter between Dashboard and Reminders

Within the Contract Dashboard, you will be able to filter between the Dashboard and the Reminders sections using the buttons highlighted below:

Contract Dashboard - Additional Filters in 'Replied due by' section

Within the Replies due by section of the Dashboard, you are now able to filter by replies due by Party 1 and Party 2:

Key and Sectional Date referencing

Within the admin panel, you will now be able to enter your own references for Key and Sectional Dates. Previously these would only display as KD-1 and SEC-1, for example:

Additionally, for any Key/Sectional Dates which have not yet been referenced in the contract, you are able to edit their reference:

Adding GC References via the admin panel

Superusers are now able to add/edit GC references within the admin panel. To do this, navigate to the Events > General Communications tab within your contract. To add a GC reference, select the plus icon highlighted below:

You will then receive the below pop-up box where you can enter the GC reference description, clause number, if a reply is required, the reply days, the Party the reference is intended for, default text, and default recipients:

In addition to this, you can also tick whether you wish for the the 'include communication PDF' and 'include communication attachments' options to be automatically ticked in the edit form when that particular GC reference is selected. These options refer to these two tick boxes within the edit form:

GC references which have been used on a contract cannot be deactivated, however, you can still edit these by selecting the three dots and then Edit:

You can also deactivate GC references which have not yet been used:

And activate them again if you wish:

Adding EW Matters via the admin panel

Superusers can now add Early Warning Matters via the admin panel. To do this, navigate to Events > Early Warnings within your contract and select the plus icon to create a new EW Matter:

You will then be presented with the below pop-up box. The soft ref will automatically populate for you, however, you can adjust this if you wish. You can then enter the details of the EW Matter, and select any risks that relate to your EW Matter:

You can also edit any EW Matters by selecting the three dots followed by Edit:

You can also deactivate any EW Matters which have not yet been referenced in your contract:

Hover mouse to view full names of actions assigned

When an action has been assigned to a User within the Contract Dashboard, if you hover your mouse over the icon displaying their initials, this will now display with a pop-up of their full name:

Contract Dashboard to Replace Reminders Page and Action Tracker

Over recent months, our development teams have been working to create a new contract dashboard which provides a high-level overview of events within the contract. This dashboard utilises modern technology to optimise performance and adds a more visual layout to outstanding actions and contract updates.

Within the dashboard, a User will be able to view and filter the contract's reminders, their own outstanding actions and view and assign others' actions - as part of this, the existing reminders page and action tracker will be replaced by the dashboard.

On the 7th of April, the dashboard will replace the existing reminders page by default, however, Users will still be able to access the reminders page for a while, to assist with adjusting to the dashboard.

Contract Dashboard - Actions pop-up menu

Within the Contract Dashboard, when you click on the Actions assigned to you section at the top of the page, you will now be presented with a pop-up side menu which will display all actions that are assigned to you:

Within here, you can filter by open and completed actions:

By reminder type:

And by User, allowing you to view your own actions, actions assigned to another user or simply to review all assigned actions in the contract:

Date Filter for Communications Archive (Superusers - Admin Panel)

Within the Downloads tab of a contract in the admin panel, a date filter has been added to allow superuser to download communications made within the contract within a certain time-frame.
This can assist superusers where the communications are required to be download in bulk on a monthly basis and also to help speed up the download speeds of large contracts with a high volume of data by separating the download into smaller sections. 

To access the date filter, enter the Contract in the admin panel and open the Downloads tab. Select the Create zip archive button:

A pop-up will be presented where you can choose whether to include attachments in the download and then use the date-picker to select a time-frame. Once done, select Create. Note that if you do not select a date, the zip archive will include all communications (and attachments) communicated in the contract, from start to present:

The system will then generate the zip archive (this may take a few minutes depending on the volume of data) and once complete, the Download button can be selected to start the download:

Associations within FIDIC Variations

When a Variation is created within a FIDIC contract and Give Variation Instruction is selected, this will automatically create an association in the event between the VAR and in the instruction:

Client Administrator's Programme Module Removal
The functionality from the Client Administrator's Programme has been moved over to the CEMAR Admin Panel over the last few months. Now that this work is nearing completion, the option for the Client Administrator's Programme will be removed from the home page for superusers.

 FIDIC Claims - Instruction of Enhanced Records association

When a Claim is responded to with Instruct enhanced records, the instruction will now automatically be created within the Associations tab of the event:

Contract Dashboard - New Widget - Sankey Chart

Within the Contract Dashboard, a new widget has been added to monitor price changes, called the Sankey Chart:

Current Price = Original price + any closed change events (for example CEs with accepted quotes or assessments)

Anticipated Total = Current Price + unapproved Change

Hovering your mouse over the nodes will give you a further breakdown of the costs.

If there is a negative change, the chart will display this, unless the total node is negative. For example, if the unapproved change is 1000 and a quote is accepted with -800 it will show 200. However, if a further quote is accepted which is -300 then the entire chart will not show. Instead a message will be shown explaining this:

In addition, this chart does not show estimates, and will only show implemented changes which will also reflect within your Contract Status Report.




Sending Prompts

When assigning actions within the Contract Dashboard, it is now possible to send prompts for outstanding actions. To do this, select a reminder which has an open action. Within here, select the three dots and then select Send Prompt:

The User who the action is assigned to will receive another email, prompting them to complete the action.


My Contracts page

We have now paginated the My Contracts page within CEMAR in order to improve its responsiveness for Users who are attached to a large number of contracts.

Previously, Users who were attached to a large number of contracts were experiencing slow loading times or unresponsiveness when trying to select a contract from the My Contracts page, due to its dynamic search struggling to load such a large amount of data. As such, we have paginated this page so that only so many contracts are displayed on each page, resulting in reduced loading times.

Over the next few months, our development team will be working on building a new and improved My Contracts page which will use modern technology to enhance performance amongst other benefits. Updates to this project will be posted within this article to ensure our Users are informed.


Select date range for downloading communications

When downloading the communications from your contract, you will soon be able to select the date range in which you wish to download the attachments/PDFs (or both) for:

This will be beneficial for larger contracts which may take longer to download all communications. If you do not select a date range, communications from the entirety of your contract shall be downloaded.


Open an event from 'My Actions' area of Contract Dashboard

Within the My Actions area of the Contract Dashboard, you will soon be able to open event forms from here. This can be done by selecting the three dots and then selecting Open event form:

Task Order Programmes Module

The Task Order Programmes module is now available for Superusers to switch on for their contracts via the Admin Panel. This can be done within the Event Preferences tab:

Once switched on, the Task Order Programmes tab will become available, where you are able to view and edit your periods for reply if required:

You are also able to adjust the permissions for this module within the Roles & Permissions tab:

Download to Include Attachments option

When downloading the communications from your contract, there is now an Include Attachments option available. Ticking this option will ensure the zip archive contains all attachments from your contract, and leaving it unticked will mean that only the PDFs are downloaded:

Locked Out Filter in Users tab

Within the CEMAR Admin Panel, it is now possible to filter by locked out Users. To do this, select the Locked Out filter highlighted below, and the list of Users will then condense to all Users whose profiles have been locked out:

'Select All' cloning options

When cloning a contract from an existing contract, it is now possible to 'Select All' cloning options, as opposed to having to select each cloning option one by one:

Contract Cloning Audit

When cloning a contract from an existing contract in CEMAR, within the Audit tab of the contract it is now possible to see the contract title in which it was cloned from, along with the cloning options that were selected:

Contract Reminders - Instant Reminder Function

Since the introduction of the new contract dashboard, we have been improving the functionality of reminders. This meant that for a period of months the reminders could take up to 5 minutes to regenerate, however, our teams have been working to ensure that the instant regeneration is restored, and this has now been completed. Going forwards, you can expect reminders to appear and disappear instantly.


Contract Dashboard - Link to event registers

When selecting a reminder from your Contact Dashboard, you are now also presented with the option to navigate straight to that module's event register:

Contract Dashboard - General Communications now visible

Within the Contract Dashboard, General Communication (GC) events are now displayed here. If you wish, you can filter to display reminders for just this event type by selecting the Event filter highlighted below:

Contract Reminder Download

Within the all contract reminders section of the contract dashboard, there is an option to download the reminders into a csv. You can choose to export all the contract's reminders, or only export the reminders that you have filtered to (using the tokens e.g. Party 1 Named Manager).

Contract Dashboard Survey

A feedback survey is now available within the Contract Dashboard. This sits on the right-hand side of the page as highlighted below:

New date chart in Contract Dashboard

Within the Contract Dashboard, we have implemented a new date chart in the 'Replies due by' widget, which shows reminders due in the next 7, 14, 28 days as well as events which have no due date, events which are overdue, and due later:

New CEMAR Analytics (Demo) environment

On Thursday the 3rd of February 2022, access to the New CEMAR Analytics (Demo) environment shall be removed for all users. This was a proof of concept released last year to provide our clients with visibility of our enhanced analytics solution that our development teams have been working on.  We will now be be finalising the tool and incorporating live data to make it useable for our clients in Spring.

Deactivation of the Contracts tab in Client Administrators Programme

On Thursday 27th January 2022, the Contracts tab within the Client Administrators Programme will be switched off. Instead, you are able to use the Contracts area within the CEMAR Admin Panel to administer your contracts.

CEMAR Admin Panel - Deactivate Users Tool

Within the CEMAR Admin Panel, it is now possible to bulk deactivate Users within the Users tab. This will be useful for when a Superuser wants to deactivate multiple Users at once, for example, all Users who have not logged into CEMAR since a certain date.

In the example below, I have selected all Users with no activity since 1st December 2021:

The Users in the Users tab will then condense to display only the Users who have not logged in since that date. From here, you are able to select the Deactivate Users button in the top-right corner to deactivate all Users displayed within the list:

Selecting this will present you with a pop-up window confirming the User(s) you are about to deactivate:

If you are happy with this, select Agree and Proceed.



CEMAR Admin Panel - Notes tab

The Notes tab is now available within contracts in the CEMAR Admin Panel:

This Notes area works the same as the Notes area within the Client Administrators Programme, whereby Superusers are able to add notes onto the contract via the admin panel which will not be pulled through to any contractual PDFs on a contract level.

To add a note, select the + symbol:

You will then be presented with a pop-up window where you can enter your note. Once done, press Add:

Key Contract tick box

The Key Contract tick box will become available within the Basic Details tab of a contract in the CEMAR Admin Panel. When the Key Contract check box selected, that contract will appear in the list of key contracts when that filter is selected in Analytics.



Coming Soon - NEC4 TSC Task Order Programmes and their Reply Periods

A preference to switch on the new Task Order Programme event module will become available within the Events > Task Orders tab within a contract in the CEMAR Admin Panel. You will also be able to amend the reply periods for this module for your contract in this area.



NEC4 TSC Task Order Programme Approvals

Task Order Programmes will become available within Global Approvals and Event Approvals. This will allow you to select this module to go through the approvals process if required. The option will display as the below:
