The User Matrix in an excel table that gives a comprehensive overview of the archive structure and the rights assigned to groups for each folder. The matrix is used to modify group rights to existing folders and to configure access rights for new folders. It is also possible to change file names, folder tokens and force parsing* and file index* using the matrix.
All folders of the archive structure are listed to the right of the excel and the letters in the columns next to each folder indicate the assigned right to each folder per group. The groups can be found listed in the first row across the top.

The letters/colours in each group's column reflect the types of access to each folder on the left. Four different types of access-rights for users can be assigned. Depending on the access rights only the allotted files can be viewed within the folders.
If a user is assigned to groups that grant different access rights to the same folder, the highest right of all the rights granted determines the access. The hierarchy of rights is listed at the bottom of the matrix
N = No rights
The group has no access to the folder and will not see the folder including subfolders in the archive
structure.
R = Read only
The group sees all files in the folder but cannot upload to this folder
O = Own
The group sees only their own files in the folder and can upload to this folder
W = Write
The group sees all files in the folder and can upload to this folder
"W" - Write access is the most comprehensive access.
If no archive group is assigned to an account or the assigned group possess no rights to folders, the folders will not be visible to the user in the archive structure. In order for subfolders to be visible, the group must also be assigned rights to the main folder. If the group does not possess the right to the main folder, the subfolder(s) cannot be seen.
To downlaod the user matrix go to "User" in the navigation menu, then click on «Usermatrix» at the bottom of the page:
On the next page you will be shown an overview of all users and their association to groups. Their assigned group is marked by an X. Select the group(s) you want to export by checking the box. If no groups are selected all groups will be exported. Click «Download Excel» at the bottom of the page to proceed.
On the final page you will be shown an overview of the archives. Select the folder(s) you want to export. When you select a main folder, all subfolders will be exported. If no folders are selected, all folders will be exported. Click «Download Excel» at the bottom of the page to finish the process and download the excel sheet.
User-summary
To download the specific user matrix for an individual user, go to "User summary" under "Rights" in the navigation menu. Select the user who's right's matrix you want to export from the drop-down menu and click «Create Excel» to export:
The excel that will be downloaded shows only the groups and rights that habe been assigned to that user.
Alternativeley, the individual user matrix can also be downloaded under "Users" when you click on the username and then go to the tab "Permissions" and click «Download Excel»:
Open the Archive menu, followed by Rights then Import Permissions. Choose the saved user matrix you want to upload from your hard drive and then click «Upload Excel»:
The excelsheet you have submitted will load, allowing you to verify the changes. Scroll to the bottom of the page and select «Import» to complete the upload processs in the browser.
Once the upload is complete, the page will reload to show you the archive tree.
Note: "Importieren und E-Mail an SP schicken" allows you to upload outside of the browser and will email you once the upload is complete. This procedure is advisable for projects with many groups / folders.
Usually the user matrix is only available to project administrators. However, using the options for the profiles, the user matrix can also be made available in the dashboard to any project participant with the appropriate profile rights.
To assign the rights to the profile click on "User" in the navigation menu and select "Profiles"
Select the profile you want to assign the rights to by clicking on the radiobutton next to the name. After the profile is selected, scroll through the menu for the "Rights setup" to the right and check the box next to "Is able to download user matrix":
Click «Set profile» at the bottom of the page to save.
All user assigned this profile can then downlaod the user matrix from the module "Dashboard" unter "Tools":
