How do I Enable a Workflow?

  1. Click "Workflows" in the navigation menu
  2. Select the workflow from the list
  3. On the right-hand side under "General" click the "Workflow enabled" checkbox at the top
  4. Scroll down and make sure the "Not clickable" checkbox is unchecked
How do I Enable the Workflow Diagram?

  1. Click "Workflows" in the navigation menu
  2. Select the workflow from the list
  3. On the right-hand side under "General" click the checkbox for "Diagram visible for"
  4. You can select "All" or specific user groups or individuals if required
    Any users selected here will have access to the workflow diagram in the "Dashboard"
How do I change the text of an Action?

  1. Select the workflow from the list
  2. Click "Steps" in the middle of the screen
  3. Click the "Pencil" icon next to the step that requires changing
  4. Scroll to the bottom and rename the action under the "Action" section
  5. Click "Save"
How do I change an attribute as a result of action in a workflow?
  1. Click the "Pencil" icon next to the step that requires changing
  2. In the action section at the bottom of the page, select the attributes that are adjusted click the "..." in the "Attribute" line - make sure the "Attribute" checkbox is clicked on the left-side
  3. Select the "Attribute" to be changed from the popup
  4. Select the "Parameter value" from the next popup
  5. Click "Save"
  6. If a filename changes as a result of the attribute change, select the "Change filename" checkbox
  7. Change the filename in the "Replace with" box
How do I add a new step to the workflow?

  1. Select the workflow from the list
  2. Click "Steps" in the middle of the screen
  3. Write the new workflow step in the box on the right-hand side
  4. Select the step type from the drop-down menu
  5. Click "New"
  6. Once created, click the "Pencil" icon next to the new step
  7. At the bottom, under "Action" type in the name of the new action to be taken e.g. "Approve"
  8. Select the next step to the right on the new name e.g. "Workflow-Ende" (to finish the workflow)
  9. Give it a number to sort in the list i.e. "1" will appear at the top and "2" would appear below it
  10. Click the "+" icon to the right-hand side of the line
How do I change a filename as a result of action in a workflow?
  1. Click the "Pencil" icon next to the step that requires changing
  2. Select the "Change filename" checkbox
  3. Select a number in the "from position" box to adjust the filename from the character noted
  4. Change the filename in the "Replace with" box
  5. Click "Save"
How do I adjust the default processing days for a workflow?

  1. Click the "Pencil" icon next to the step that requires changing
  2. Adjust the "Default processing time (Days)" on the left-side
  3. Click "Save"
How do I adjust the Editors of a Workflow?

  1. Click the "Pencil" icon next to the step that requires changing
  2. If this is the user that has created the workflow, next to the text that says "Editor" select the checkbox that says "Workflow-Creator"
  3. If this is a different user, next to the "Editor" text select the "..." icon and select the users from the list
  4. Click "Save"
