Properties

If attributes cannot be predefined because they require a variable format, such as a date or free text, properties can be used instead of attributes. The difference to attributes is that properties allow you to create a category and customize the entry used in the file name rather than having fixed attribute entries to choose from.

All configurations, such as creating, modifying, assigning to folders, are similar to attributes and can be done using the corresponding options under “Properties” in the navigation menu.

Create / Modify / Delete Properties

To create a new property, click on "Properties" in the navigation menu:

Enter the name of the new property in the textbox and select the type from the drowpdown menu.

Click «Create» to finish.

  • To rename a property, select it from the list, type the new name in the box and click «Rename»
  • To delete a property, select it from the list and click «Delete»
  • When modifying the additional options such as format, sorting, routing and permissions click
    «Sort / set uploadflags» to save. 
Assigning Properties to Folders

Just like attributes, properties are assigned to folders either individually or via import.

To assign properties individually go to “Assignment” in the navigation menu under “Properties”.
Select the folder to which to add the properties, then select the properties to add from the menu to the right:

Assignments made for main folders will automatically apply to all subfolders.

Click «Add» to save.

To import the assignments, use the option “Import / Export assignments” under Properties in the navigation menu. When you click on «Export» you can download the excel, which is the same template used for importing attributes.

In the excel, add / remove the "X" in the columns for the required properties to assign / remove and then upload the template on the same page as the download with the button «Import»

User-specific permissions

User-specific permissions can be helpful to regulate the access to certain properties in the upload. If restrictions are made, the property will only be visible to selected users.

To use this option, first go to „Properties“ in the navigation menu.  Check the box in the column "User-specific permissions" for the property you want to restrict:

Next, got to "User-specific permissions" under "Properties" in the navigation menu. All restricted properties from the previous step will be listed. Click on the property to show the userlist and select the users to receive access by checking the box next to the name:

Click «Save» once all users have been selected.
